La Sociedad Latina at Indiana University Bloomington (“La Sociedad Latina,” “LSL,” “we,” “us,” or “our”) respects your privacy. 1. Information We Collect
We may collect the following categories of information.
Account and membership information
When you create an account or request an active-member account, we may collect your name, email address, username, password, account role, and any optional information you provide about your involvement with La Sociedad Latina.
Profile information
If you choose to complete a profile or are included in a leadership/member profile, we may collect or display your profile photo, biography, graduation year, country or region of origin, email address, phone number, and social-media links.
Do not provide information that you do not want us to collect, retain, or potentially display.
Event, registration, and purchase information
When you register for an event, join a waitlist, or make a purchase, we may collect your name, email address, event selection, ticket quantity, registration status, payment status, and related communications.
If you register as a guest, we collect your name and email address to administer your registration and communicate about the event.
Payment information
Payments are processed through Stripe. We do not store your full payment-card number on our Site. Stripe may collect payment-card, billing, device, and transaction information under its own privacy practices. You can review Stripe’s Privacy Policy at https://stripe.com/privacy.
Communications and notifications
We may collect information included in emails or messages you send us. If you choose to enable browser push notifications, we may store a push-subscription endpoint and related technical subscription information so we can send you announcements and event updates.
Polls, uploads, and other content
If you respond to a poll, submit a form, upload an image or document, or otherwise provide content through the Site, we collect the information and files you submit.
Automatically collected information
We may collect limited technical information necessary to operate and secure the Site, such as session information, browser/device information, IP-address-related server logs, and cookie or local-storage preferences.
2. How We Use Information
We use personal information to:
Create and administer accounts and membership requests;
Verify email addresses and reset passwords;
Provide Site features and personalize member profiles;
Register users and guests for events, manage waitlists, and communicate event details;
Process purchases and payments through Stripe;
Send transactional messages, such as account-verification, password-reset, registration, payment, and waitlist messages;
Send announcements or push notifications when you choose to receive them;
Manage polls, forms, gallery content, and member resources;
Maintain Site security, prevent fraud or misuse, and enforce our policies;
Comply with legal obligations and resolve disputes.
We do not sell or rent personal information. We do not use personal information for targeted advertising across unrelated websites.
3. When We Share Information
We may share personal information with:
Service providers that help us host, secure, maintain, or operate the Site and database;
Stripe, to process payments;
Our email provider, to send transactional and authorized communications;
Browser push-notification providers, when you subscribe to notifications;
Authorized La Sociedad Latina officers, administrators, and volunteers, when access is needed to administer accounts, events, payments, or member services;
Other parties when required by law, to protect rights and safety, or in connection with a legal claim.
We may share information with third parties when you direct us to do so, such as by following an external link or completing a third-party form.
4. Public Profiles, Photos, and Contact Information
Some information may be publicly visible on the Site, including board or member profiles, event photos, gallery images, biographies, social-media links, graduation years, and contact details.
We will publish personal contact information, photos, or other profile details only when authorized by the individual or otherwise appropriate for the relevant leadership/member role. If you want information or an image removed from a public page, contact us at [privacy contact email].
5. Cookies, Local Storage, and Similar Technologies
We use essential cookies and similar technologies to operate the Site. These may include:
Session cookies that keep you signed in;
Preference cookies that remember Site settings;
Local storage that remembers whether a notification prompt has been shown;
Service-worker and push-notification technology, if you choose to enable notifications.
You may manage cookies through your browser settings. Disabling essential cookies may affect account features and Site functionality.
6. Your Choices
You may:
Update certain account or profile information through your account settings;
Unsubscribe from browser push notifications through Site controls or your browser/device settings;
Ask us to correct inaccurate personal information;
Ask us to delete your account or personal information, subject to legal, security, fraud-prevention, financial-record, and operational-retention needs;
Request access to personal information we hold about you;
Request a copy of certain personal information you provided to us.

7. Data Retention
We retain personal information for as long as necessary to operate our services, maintain organizational and financial records, comply with legal obligations, resolve disputes, and protect the Site. At present, most account, registration, and organizational records are retained until they are no longer needed or are manually deleted by an authorized administrator. Authentication sessions expire after 30 days; email-verification links expire after 24 hours; and password-reset links expire after one hour.
8. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. These safeguards include access controls, password hashing, authenticated sessions, and limiting access to authorized personnel.
No website, payment system, or internet transmission is completely secure. Please use a strong, unique password and contact us promptly if you believe your account has been accessed without authorization.
9. Children’s Privacy
The Site is intended for La Sociedad Latina members, prospective members, event attendees, and supporters. It is not directed to children under 13.
We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13 without required parental consent, we will take reasonable steps to delete it. A parent or guardian who believes a child has provided personal information may contact us at sociedad@iu.edu.
10. External Websites and Forms
The Site may link to third-party websites, payment pages, social-media platforms, or forms. Those services have their own privacy practices, and this Privacy Policy does not apply to them. Review the privacy policy of each third-party service before providing information.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and update the “Last updated” date. If a change materially affects how we handle personal information, we will provide additional notice where appropriate.
